Getting started
Get started with Coco Staff Voice
Coco Staff Voice is a phone line for your team. On by default: a team member who calls your number is recognised by their own phone number, hears their own schedule, books time off, finds cover for a visit and updates their own details. Phone interviews for applicants are off by default (see section 4). It requires Coco Staff Onboarding.
Before you install: three things it needs
- Coco Staff Onboarding, installed first. Your hiring steps, your interview questions and your applicants live there. Without it the voice agent has nowhere to read your steps or save an answer, and its actions do not work.
- Voice AI in your CRM. The agent is one of your CRM’s own voice agents. Your CRM bills the call minutes and the texts at its usual rates.
- A phone number in your CRM to put on the agent.
1. Install and open the app
Install Coco Staff Voice, then open its tab on the Staff Booking & Services Portal page in your CRM menu.
Where it opens: this app needs the free Staff Booking & Services Portal app. Install the Portal first: this app’s settings open as a tab on the Portal page in your CRM menu.
The menu includes Home, Call steps, Settings, Widgets, Workflows, MCP & AI agents, What’s installed, Activity log and Get help.
Price: $19 per month or $190 per year, or $456 once for a lifetime licence. Every plan starts with a 14-day free trial.
At install the app creates your Coco voice agent in your CRM (AI Agents ▸ Voice AI), with one action for each thing it can do on a call.
2. Home: the Get started checks
Each check is read in your account; none is ticked by hand.
- Your Coco voice agent exists.
- A phone number is on the agent. Your CRM only lets you choose it on the agent itself: AI Agents ▸ Voice AI ▸ your Coco agent ▸ Phone number.
- The agent speaks your language.
- Your hiring steps are chosen (they are the same ones as in Coco Staff Onboarding).
- Every action your settings need is on the agent.
- Transfer to a person has a number, when you turned transfer on.
- Your team can be recognised by phone: the agent only helps a caller whose number is on a team member’s contact.
- A workflow places the outbound call (see below).
3. When your team calls (on by default)
A team member calls the same number and is recognised by their own phone number. They can:
- hear their own schedule;
- book time off — the agent says which visits are already booked in that time, because blocking time does not cancel them;
- find cover for a visit they cannot make: the agent looks for who else is free, texts the client the options, and only moves the visit on the client’s own answer;
- update their own details (phone, address, travel distance, languages).
Before anything that touches money, another person’s data or another person’s calendar, the agent texts a 6-digit code to the caller’s own number and asks for it. With Coco Staff Portal installed, Who gets what lets you switch voice off for one person.
4. Phone interviews (off by default)
Off by default. Since 2026-10-19 the agent is a team-only line: it does not run interviews, and there is no switch for them in the app. To use phone interviews, write to support@claudiafix.ai. What follows is how an interview call works once it is on.
Your workflow places the call, at the time you set. An app cannot start a phone call in your CRM, so you add one workflow: Automation ▸ Workflows ▸ action Voice AI outbound call ▸ your Coco agent. The agent also takes the interview when the applicant calls your number.
On the call, the agent:
- asks your questions in your order and saves each answer on the applicant’s record;
- applies your yes and no rules; when your rules do not decide, it stops and leaves the decision to you;
- texts the applicant the interview link when a link is easier, and sends it again (twice at most) when they miss the call, if you left that switch on;
- after your yes, can finish the joining by phone: their login, their services and weekly hours, and the app link by text.
Call steps is where you see each step of the call and the action that carries it.
5. Widgets and workflows
This app has no website widget and no workflow trigger of its own. The hiring moments your workflows can start on come from Coco Staff Onboarding.
What’s installed, and uninstalling
What’s installed lists every item the app created in your account, whether it is there, and what uninstalling does to it. If something is missing, press Repair my install.
Created at install: your Coco voice agent and its actions, and a connection value the agent’s actions use (shown in What’s installed under a neutral name). The hiring texts the agent reads are shared with Coco Staff Onboarding.
Uninstalling ends your subscription and removes the agent the app created (if a phone number is on it, the screen tells you first) and the connection value. The shared hiring texts stay while Coco Staff Onboarding is installed.
Kept: your phone number, your call history in your CRM, your contacts, applicants and team records.
Before you uninstall, choose: Save my data (a copy you can put back if you install again) or Delete our data (removes what only this app created; a copy is saved first). Then uninstall the app from your CRM’s app marketplace (Installed apps).
