Getting started
Get started with Coco Staff Onboarding
Coco Staff Onboarding takes a person from “I would like to work with you” to a working team member: a careers page, an apply form, the interview, your yes or no, the contract, then their login and their setup form.
1. Install and open the app
Install Coco Staff Onboarding, then open its tab on the Staff Booking & Services Portal page in your CRM menu.
Where it opens: this app needs the free Staff Booking & Services Portal app. Install the Portal first: this app’s settings open as a tab on the Portal page in your CRM menu.
Inside, the menu includes Home, HR pipeline, Settings, Widgets, Workflows, What’s installed, Activity log and Get help.
Price: $19 per month or $190 per year, or $456 once for a lifetime licence. Every plan starts with a 14-day free trial.
Still yours to prepare (each one only if you use that step):
- a calendar for the meeting step (your CRM ▸ Calendars);
- a document template for the contract step (your CRM ▸ Payments ▸ Documents & Contracts ▸ Templates);
- your own form or survey, if you prefer it to Coco’s apply questions (your CRM ▸ Sites ▸ Forms).
Until they exist, Home shows the matching check as to do, with a button to the place that fixes it.
2. HR pipeline: decide how you hire
HR pipeline is your setup, in the order a hire happens:
- Your hiring steps — apply, screening, interview, conditions to join, contract, meeting, joining. Switch on the ones you use.
- Open positions — a name, a few lines and the pay for each one. They appear on your careers page.
- The apply form — Coco’s questions, or your own form.
- The interview — your questions, in your order, and the conditions a person agrees to.
- Conditions on their answers — who decides: you, or your conditions. A NO rule refuses an application; when every YES rule is met the application passes screening. With no condition written, every application waits for you.
- Automatic yes — optional, and only available once at least one condition exists. Otherwise nobody joins your team without your yes.
Your hiring board in your CRM shows each applicant’s card as it moves from applied to joined.
3. What an applicant goes through
- They open your careers page and choose a position.
- They fill the apply form and can attach their CV.
- They do the interview on their own interview page, by chat, with your questions.
- You say yes or no on their hire card (or your conditions do). A no sends your polite message.
- After a yes: the contract to sign and the meeting to book, if you use those steps.
- They join: their login is created in your CRM, and they receive their setup form for their services, weekly hours, locations and prices.
Every step an applicant takes uses a signed link sent to them; a person cannot mark their own screening as passed.
4. Widgets for your website
Open Widgets to copy the link or the iframe of each one, or add it from your CRM’s website builder (Add element ▸ Widgets). Inside the builder the widget links itself to your account.
- Careers page — why people work with you, your open positions, your team, and the Apply button.
- Apply form — the form alone, for a page you already have.
- New-hire setup form — opened from the link a new hire receives; it shows nothing without that link.
5. Workflows
The app adds one trigger and one action to your CRM’s workflows.
Trigger — a hiring moment happened: someone applied, a decision was made, a first step was scheduled, a hiring step was done, an agreement is due, someone was added to the team, an onboarding step was done.
Action — do a hiring job: add to the team, schedule the first step, send the app links, send the setup form, send the setup summary, mark a hiring step done.
The Workflows page of the app lists each moment and job with the fields it carries.
Costs to know
The app’s price is above. The interview chat is answered by your CRM’s own conversation AI, and messages are sent from your CRM’s number: your CRM bills those to you at its usual rates. The app has no AI model of its own.
What’s installed, and uninstalling
What’s installed lists every item the app created in your account, whether it is there, and what uninstalling does to it. If something is missing, press Repair my install.
Created at install or on first use: the Applicant record and its answer fields; your Staff hire board with one stage per step; the tags Coco · hire · 01 applicant, 02 yes and 03 no; the trigger links Coco · hire · 01 apply and 02 interview; values that hold your apply page address and your hiring texts; two contact fields (referred by, referred at); the Coco · Interview chat box and its interview agent; a knowledge base built from your website when you have none; a media folder; and the Onboarding calendar, the first time a meeting is scheduled.
Uninstalling ends your subscription and removes the tags, the trigger links and the values, unless another ClaudiaFix app still uses them, as well as the interview agent and the knowledge base the app created, and your hiring board when it is empty.
Kept: the contact fields and the applicant answers, your contacts, the logins already created for your team, your calendars and their appointments, and your files. The fields on your team members’ records stay while another ClaudiaFix app is installed.
Before you uninstall, choose: Save my data (a copy you can put back if you install again) or Delete our data (removes what only this app created; a copy is saved first). Then uninstall the app from your CRM’s app marketplace (Installed apps).
